How Aion Coach handles your data.

What Aion Coach Collects
Aion Coach collects the information needed to create, explain, remember, and adjust training plans. This can include your account provider, stable user id, email address when provided, display name, age, height, weight, unit preference, goals, sports, training level, equipment, schedule, reminder preference, sleep note, limitations, soreness notes, workout logs, check ins, progress notes, personal records, friend connections, messages you send to Aion, and coaching memory created from your messages when it is useful for future training. If you rate a coaching reply, we also store whether it was helpful and the controlled reason category you choose. The rating does not create another copy of the message.
Aion Coach also collects limited app interaction events so we can understand whether important flows are working. These can include onboarding steps viewed, plan generated, workout opened, exercise logged, workout completed, support opened, paywall viewed, purchase or restore status, trial started, and whether an AI plan change was applied or dismissed. These events use an app generated analytics id and do not include chat text, workout notes, raw health values, exact body stats, profile photos, or payment card data.
If you choose to connect health sources, Aion Coach may collect normalized read only data from Apple Health, WHOOP, or Oura. This can include sleep, workouts, steps, active energy, resting heart rate, heart rate variability, recovery, readiness, and strain signals. Health integrations are optional.
Email Updates
If you enter your email address in the early access form on this website, or choose Continue with email in the app, we store that address, where you entered it, and the date. The update list is separate from a secured Aion Coach account.
For website signups, “where” means the public page path and a broad referral category such as Google, Bing, ChatGPT, Reddit, direct, or other. We do not store the referring URL, search query, URL parameters, or answers selected in the workout adapter with the signup.
Continue with email also creates a temporary guest session so your plan can stay on that device. The address is not used as a password or as proof that you own an account. You can later connect Apple or Google from Profile to secure the plan across devices.
We use the list for Aion product, availability, training, and membership updates. We do not sell it, rent it, or share it with anyone for their own marketing.
Every email we send to this list has an unsubscribe link, and your mail app's own unsubscribe button works too. Unsubscribing stops all of it. We keep a record that you unsubscribed so that a later export cannot put you back on the list by accident. To have that record deleted as well, email support@aionthecoach.com.

Sign in with Apple and Google
When you choose Apple or Google, those providers share a verified identity token with Aion Coach so we can create or open your account. Apple may provide a private relay email. We do not sell this information. You can delete your account in the app at any time, and you can also request deletion on the Delete account page.
Connected Health Sources
Apple Health access is read only in this version, through Apple's HealthKit. Aion Coach does not write workouts or other data to Apple Health. From HealthKit we read sleep, steps, active energy burned, resting heart rate, heart rate variability, VO2 max, and completed workouts, and only after you grant each permission on the device. WHOOP and Oura use server side OAuth. Provider tokens are stored encrypted and are not sent to Aion chat prompts.
Aion Coach summarizes connected health data before using it for coaching. The AI receives compact training context, such as sleep being low compared with recent baseline or recovery data being stale. Raw provider responses are not retained for this version, and the AI does not receive raw minute by minute streams for normal coaching. Aion Coach does not use connected health data for advertising, tracking, or medical diagnosis.
You can disconnect a health source in Profile. Disconnecting removes provider tokens and imported data for that source from active systems, including sync audit entries for that provider. Deleting your account also removes stored imported health data tied to the account.
AI Processing And Coaching Memory
Aion uses AI to answer training questions, summarize recent context, suggest plan changes, and extract coaching memory from messages you send. Coaching memory can include stable training facts such as goals, equipment, schedule limits, exercise preferences, recurring recovery patterns, upcoming events, recent lift marks, and limitations you ask Aion to remember.
Aion sends only the context needed for the coaching task to third party AI service providers. That context can include your message, recent chat, the current plan, selected workout logs, compact health summaries when you opted in, and relevant coaching memory. We do not send provider health tokens, full payment details, or raw minute by minute health streams to chat prompts.
Third party AI service providers process this information for Aion so the app can respond, summarize, and remember training context. Aion does not sell your messages or coaching memory, and does not use them for third party advertising or tracking. Do not send medical records, emergency information, or highly sensitive details through chat. Aion is not for diagnosis, treatment, or emergency decisions.
Every coaching request is sent with response storage disabled, so the provider does not keep a copy of the request or its reply on our account. Providers may still hold requests briefly under their own abuse-monitoring policy, typically up to 30 days, before deleting them; that retention is theirs and applies whether or not we store anything. Our current AI provider is OpenAI, processing in the United States under a data processing agreement, and we do not use its model training options. Requests carry no name, no email address and no account identifier. They carry only the training context the task needs.
We record how each coaching request performed: timings, token counts, which model answered, whether it succeeded, and an error code when it did not. Those records contain no message text, no part of your plan, and nothing about your body or health.
Helpful and not helpful ratings stay linked to the coaching reply and account while that account exists, so we can verify ownership, prevent duplicate ratings, and delete them with the account. Staff reporting shows aggregate counts and controlled reason categories only. It does not expose message text, email addresses, names, account ids, or individual workout details.
You can correct a remembered fact by telling Aion that it is wrong or no longer true. You can also update profile details in the app, request access, correction, export, or deletion through support, or delete your account from Profile.
Product Analytics
Aion uses product analytics to understand which features are used, where people drop off, and whether critical flows such as onboarding, first workout, support, and membership checkout are working. Mobile analytics are sent through Aion servers before they reach our analytics provider. We allow only a fixed list of event names and coarse properties such as screen source, training level, goal count, equipment count, exercise count, subscription status, and duration bucket.
Product analytics do not include message text, workout notes, raw health metrics, exact body stats, payment card details, email address, display name, or account id. The analytics id is stored on your device and can be reset when you delete your account.
On this website, analytics do not run until you allow them. The choice is stored in your browser, so we hold no record of anyone who declined. When you do allow them we record page visits and whether an acquisition link was used, an early access form was submitted, or the free workout adapter was started, completed, or shared. We do not record the email address, form input, or answers selected in the tool. There is no cookie, session recording, heatmap, or automatic capture of clicks or form input. You can change your mind by clearing this site’s data in your browser.
In the app, analytics can be turned off at any time under Profile, Privacy. Turning them off also discards the anonymous id on your device, so switching them back on later starts fresh rather than resuming the old one.
Product analytics are retained for 12 months and are not linked to your account. Our analytics provider is PostHog, processing in the European Union.
Payments and Membership
If you buy an Aion membership, your purchase is processed by Apple through the App Store. We use RevenueCat as our subscription infrastructure provider to verify purchases and manage membership access. We receive your purchase and subscription status, such as which plan is active, when it renews, whether it is in a trial, and a stable purchase identifier, so we can unlock and maintain your membership. We do not receive or store your full payment card details; Apple handles payment collection. We do not use purchase data for advertising or for tracking you across other companies’ apps or websites.
Sharing
We do not sell personal data. Data may be processed by service providers that help run the app, including hosting, database, crash diagnostics, subscription and payment infrastructure, product analytics, and third party AI service providers, only as needed to provide the service. We do not use your data for third party advertising or tracking across other companies’ apps or websites.
Local Storage
The mobile app stores a small amount of account state on your device so you can stay signed in. Account tokens use secure device storage when available. The app may use normal device storage for non sensitive preferences such as whether you completed the guided tour. Profile photos selected from your photo library are stored on your device for the current version and are not uploaded to Aion servers.
To keep the latest plan and workout information readable during a temporary network failure, the mobile app also keeps an encrypted, account-scoped snapshot of the latest coaching state already sent to the app. That snapshot can include your profile, plan, sessions, exercise details, recent coach messages, progress and friend information, and connected-health summaries shown in the app. The snapshot is encrypted with AES-256-GCM before it reaches normal app storage, and its separate per-account key is kept in secure device storage. If secure storage is unavailable, the app does not create this offline snapshot. It is replaced as coaching state changes and cleared when that account is signed out, replaced on the device, or deleted.
Retention
We keep account, plan, log, progress, chat, and coaching memory data while needed to provide the service, resolve support requests, meet legal obligations, and protect the app. When you delete your account in Profile, we permanently remove your account and associated personal training data from active systems, subject to backups, security records, fraud prevention, legal obligations, analytics records that are not linked to your account, and records we must keep for legitimate operational reasons.
Your Choices
You can update profile details in the app, sign out, delete your account from Profile, and request help with data access, correction, export, or deletion through the support page. Deleting your account removes your profile, plans, sessions, workout logs, check ins, progress history, personal records, notes, attachments, friend links, coaching memory, AI messages, plan proposals, membership and billing records, and imported health data and auth links tied to that account.
Legal Bases For Processing
Where data protection law requires a legal basis, ours are these. We process your account, plan, workout, and coaching data to provide the service you asked for, which is the performance of our agreement with you. We process connected health data, and the coaching context derived from it, on your explicit consent, given when you connect a health source and withdrawable at any time by disconnecting it in Profile. We process product analytics on your consent, given in the analytics prompt and withdrawable in settings. We keep security, rate limit, and abuse records because we have a legitimate interest in keeping accounts and the service safe.
Connected health data is a special category of personal data. Aion Coach asks for it explicitly, uses it only for coaching, and does not use it for advertising, profiling unrelated to training, or any medical purpose. Refusing or withdrawing that consent does not stop you using Aion Coach; the plan is then built without health signals.
Automated Decisions
Aion Coach builds and adjusts your training plan automatically from your goals, schedule, equipment, logged work, and, if you connected one, health signals. That is automated processing, and we would rather say so plainly than hide it in a definition.
It does not produce legal effects or comparably significant effects. It produces a training plan you can change, ignore, or overrule at any time, and no decision about money, employment, credit, insurance, housing, or medical care is made from it. Where Your Data Goes
Aion Coach runs on Cloudflare. Coaching requests are processed by OpenAI in the United States, product analytics by PostHog in the European Union, purchases by Apple with RevenueCat as our subscription infrastructure provider, and connected health data comes from Apple Health on your device or from WHOOP or Oura by your authorization. Those are the processors we use. We do not sell your data and we do not share it for advertising.
Sending coaching requests to OpenAI moves data outside the European Economic Area and the United Kingdom. That transfer is covered by the data processing agreement and standard contractual clauses we have in place with that provider. As stated above, the requests carry no name, no email address, and no account identifier.
If You Are In The EU, EEA, UK, Or Switzerland
You have the right to ask for a copy of your data, to correct it, to have it deleted, to restrict or object to how we use it, to receive it in a portable form, and to withdraw any consent you have given without affecting what we did before you withdrew it. Deleting your account, and disconnecting a health source, you can do yourself in Profile and they take effect immediately. For a copy of your data, a correction, or anything else, write to us through the support page and we will do it by hand.
For anything else, write to us through the support page. We answer within one month. If you think we have handled your data badly, you can complain to your local data protection authority, and you do not have to raise it with us first.
If You Are In The United States
Depending on your state, you may have the right to know what we collect, to get a copy, to correct it, to delete it, and to appeal if we refuse. Deletion is in Profile and is immediate; for the rest, write to us through the support page. We will not treat you differently for asking.
We do not sell your personal information and we do not share it for cross context behavioural advertising, under those laws or any other reading of the words. Connected health data is sensitive personal information. We use it only to build and adjust your training, never to infer characteristics about you, so the right to limit that use has nothing to limit.
Security
We use reasonable technical and organizational safeguards, including signed session tokens, server side account checks, rate limits, and access controls. No system is perfectly secure. Keep your device secure and avoid sharing private health or medical details in chat.
Children
Aion Coach is not designed for children under 13. If you believe a child provided personal data, contact support so we can review and remove it when appropriate.
